The short version
- The Free plan is free for up to 8 teams, with no time limit.
- Paid licences (Pro and Elite) last 12 months from the day you first activate them.
- You are responsible for what you enter, and for checking your schedule before the day.
- Refunds are covered in our Refund Policy.

1. Who we are and what these terms cover
These terms apply to your use of Grassroots Tournament Hub: the Tournament App and Spectator View for Windows, the supporter and referee hub at live.grassrootstournamentsoftware.uk, and this website.
We are Mick Dooler, trading as Grassroots Software. Our address is 6 Herbaceous Court, Crofton, WF4 1FF. You can contact us at grassrootstournamentsoftware@gmail.com. By installing or using the software you agree to these terms. If you don't agree, please don't use it.
2. Your licence
We give you a personal, non-exclusive licence to install and use the software to organise your own tournaments. You may not sell, rent, share or transfer your licence key to anyone else.
- Free: no cost, up to 8 teams, no expiry.
- Pro: unlimited teams, for 12 months.
- Elite: everything in Pro plus the live supporter and referee hub, for 12 months.
The software is licensed, not sold, and we keep ownership of it. Except where the law gives you the right (for example to make a backup copy), you must not copy it, change it, reverse engineer it or resell it.
3. Buying a licence
Prices are shown in pounds sterling and include VAT where it applies. Payments are handled by Stripe. We never see or store your card details.
After you pay, we email your licence key to the address you gave at checkout. If it doesn't arrive within a few minutes, check your spam folder and then contact us. Your 12 months start when you first activate the key. Licences do not renew automatically. When one ends you can buy a new one.

4. Using the software and the hub
- You are responsible for the information you enter (team names, schedules, scores, contact details) and for having the right to use it.
- The software is built around team names, not individual players. Please don't enter children's personal details such as full names, photos or dates of birth.
- The live hub is public by design. Anyone with its link can see standings, fixtures and results, so only share the link with people you want to see it. Referees need the PIN you set, so keep it to the people who need it.
- Schedules are generated automatically. Please check them before you publish or print them. You are responsible for how your tournament is run on the day.
5. Acceptable use
Please don't use the software or the hub to break the law, to publish harmful or offensive content (including in tournament names and logos), to get around licence limits, to probe or attack our systems, or to put unreasonable load on them, for example with automated requests to the hub.
6. Availability and your data
The live hub and cloud backup run on third-party services. We work to keep them available, but we can't promise they will never be interrupted. The Elite hub needs an internet connection at the venue. The Free and Pro plans work offline once activated.
Cloud backup is a safety net, not a substitute for your own copies. Please keep your tournament data safe on your own computer too.
We may update and improve the software. We won't make changes that significantly reduce what you have paid for during your licence period without telling you first.
7. Support
Email grassrootstournamentsoftware@gmail.com. We are a small business, and we reply as quickly as we can, usually within a few working days.
8. Your data
We handle your data as described in our Privacy Policy. You own your tournament data. You give us permission to store and process it only so that we can run the services you use, such as backup and the live hub.
9. Our responsibility to you
We will provide the software with reasonable care and skill, and it will match its description. Nothing in these terms limits any liability that the law doesn't allow us to limit, including liability for death or personal injury caused by our negligence, for fraud, and your legal rights as a consumer (see our Refund Policy).
Beyond that:
- We aren't responsible for losses that weren't a foreseeable result of us breaking these terms.
- If you use the software for a business, we aren't responsible for lost profit, revenue or business opportunities.
- We aren't responsible for problems caused by things outside our reasonable control, including outages at services we rely on (such as Cloudflare or Stripe) and your own internet connection.
- Our total responsibility for any claim relating to the software is limited to the price you paid for your licence, if any.
10. Changes to these terms
We may update these terms from time to time. The version on this website is the one that applies. For a paid licence, changes won't affect the terms you bought under for the rest of that licence period, unless the change is needed to comply with the law or is in your favour.
11. Ending your licence
You can stop using the software at any time. We may suspend or end a licence if you seriously or repeatedly break these terms, and we will warn you first where that is reasonable. If we end a paid licence when you haven't broken these terms, we will refund the unused part.
12. Which law applies
These terms are governed by the law of England and Wales. If you live in Scotland or Northern Ireland, you can also bring a claim in your local courts.
